Filing Survey/Subdivision Maps

Survey Map Requirements

  1. One original map printed on linen or Mylar plus one paper copy must be submitted.
  2. Minimum size: 8 ½” x 11”
  3. Maximum size: 34” x 44”
  4. The map must be signed by the surveyor and their seal affixed.
  5. No certifications are required.

Subdivision Map Requirements

  1. Map must be printed on linen or Mylar.
  2. Minimum size: 8 ½” x 11”
  3. Maximum size: 34” x 44”
  4. A paper copy must be submitted with original map for transmittal to Ulster County Real Property Tax Agency.
  5. Surveyor’s certificate showing date of completion of survey and making of the map, the name of the subdivision and the original signature and seal of the surveyor must appear on the map.
  6. Planning Board Approval must appear on map. Map must be filed within 62 days of the date of approval. All signatures must be original. No copies of signatures are acceptable.
  7. Required Certifications (see below). Certifications must certify that all taxes are paid in full, be signed by originating agency, and seal must be affixed. All certifications must be originals, copies are not accepted. Paid tax bills cannot be accepted as proof of taxes paid.
  8. The fee to file a map is $10.00 per sheet.

Required Certifications

  1. Ulster County Department of FinanceCertification.
    Certificate issued by the Ulster County Department of Finance ($10.00 fee) or a Title Company Certificate, issued by an Abstract Company, stating that a five-year search of the property shows all taxes paid.
  2. Town Tax Certification, if filing between January 1st and May 31st.
    Certificate issued by the town tax collector stating that all taxes are paid for the current year. Issued from January 1st through May 31st. After May 31st taxes are paid to the Ulster County Department of Finance.
  3. School Tax Certification.
    Certificate issued by the school district that the current school year taxes are paid. (See Certification Time Table)
  4. Ulster County Real PropertyCertification.
    Certificate issued by the Real Property Office approving the filing of the subdivision and executing the Ulster County Street Name Approval Request. The fee is $25.00 to $100.00 based on number of lots.

Certification Time Table

  • General Taxes (County, Town, Highway) are collected from January 1st through May 31st for the current year only. After May 31st, taxes are payable at the Ulster County Department of Finance
  • Kingston City School District fiscal year runs from July 1st through June 30th. Taxes are payable to the school district from September 15th to December 15th. After this date, you must check with the Ulster County Department of Finance for payment options.
  • There are fourteen Other School Districts in Ulster County, (fiscal year runs from July 1st through June 30th) each usually has taxes payable during September and October. After this date, you must check with the Ulster County Department of Finance for payment options. On January 1st, it becomes a relieved school tax, which is collected as part of the general taxes.
  • All Delinquent Taxes will be collected year-round by the Ulster County Department of Finance with interest and penalties.

Search & Obtain Copies of Maps

The following options are available for searching and obtaining copies of maps:

  • Online: View most maps online with Search IQS.
  • By Mail: Write a letter with the property owner, filing date, and map number, if known. You can call the Clerk’s Office at (845) 340-3288 to look up this information prior to sending a letter. Please include your name and mailing address, along with payment for the associated fees. Copies will be mailed back to you at the address indicated on the request. Mail requests to:

  • In Person: Requests for copies can be made in person at 244 Fair Street in the 2nd floor Records Room. Associated fees must be paid when copies are received.
  • By Phone: Telephone requests to (845) 340-3288 are for informational purposes only. Requests for copies must be made via Search IQS, though the mail, or in person and include payment of the associated fees.
